Who We Are

Muxow, LLC ("Muxow," "we," "us," or "our") provides hotel operations software for hotels, hotel groups, chains, and management companies. Muxow works alongside existing hotel systems as a daily operations platform. This Privacy Policy explains how we collect, use, and protect information across both our public marketing website at muxow.com and the Muxow application and service (the "Service").

Scope of This Policy

This policy covers two groups:

  • Website visitors — people who browse muxow.com, submit a demo or contact request, or schedule a demo.
  • Service users and hotel data — hotels and their authorized staff who use the Muxow application, and the operational data they enter or generate inside it.

When a hotel uses Muxow, the hotel is generally the controller of the data its users enter, and Muxow processes that data on the hotel's behalf to provide the Service. Specific commercial terms may be set out in a separate agreement provided during account setup.

Information We Collect from Website Visitors

When you visit our website or submit a demo request or contact form, we may collect:

  • Full name and job title (if provided)
  • Work email address and phone number (if provided)
  • Company or property name, location, and number of rooms (if provided)
  • Details you share about your current systems, departments, and operational needs
  • Message content from demo requests or inquiries
  • Demo scheduling details when you book a time through our embedded scheduler
  • IP address, device type, browser information, and general usage data
  • Cookies and analytics data (see our Cookie Policy)

Information We Collect Through the Service

When hotels and their authorized users use the Muxow application, we collect and process:

  • Staff and user account data — names, work contact details, role and permission assignments, property and department associations, and authentication and session information.
  • Guest data entered by hotel users — guest names, room numbers, requests, and related details that hotel staff choose to record in the course of operations.
  • Operational data entered or generated inside Muxow — including assignments, tasks, work orders, shift reports, packages, signatures, photos, attachments, logs, checklists, guest recovery records, lost and found, inventory, budget, messages, wake-up calls, reports, readings, schedules, calendars, accounts and roles, and portfolio data.
  • Communication content — messages, notes, and related workflow content created in the Service, and, where communication features are enabled, information used to send SMS, voice, or email notifications.
  • Security and usage data — activity logs, device and session data, access events, and similar records used to operate, secure, and troubleshoot the Service.

Communication Features

To support hotel operations, Muxow uses third-party providers to deliver communications when these features are enabled and configured by a hotel:

  • SMS and voice workflows, where enabled, may be processed through Twilio when a hotel uses messaging or call-related features, such as messages and wake-up call workflows. Not every account uses both SMS and voice.
  • Email (such as transactional, system, and notification email) may be delivered through providers such as Resend and Microsoft 365.

Hotels are responsible for using any communication features lawfully, including obtaining any consent required to contact guests or staff by SMS, voice, or email.

Payments

If paid subscriptions or transactions are enabled, payment processing may be provided by Stripe. When payments are processed through Muxow, payment information may be handled by Stripe under its own security and privacy practices; we do not store full payment card numbers on our systems.

AI Assistant

Where enabled, AI-assisted features may process prompts, instructions, or operational context provided by authorized users to help draft or navigate workflows. These features support users rather than make autonomous decisions, and AI-generated output is not presented as a guarantee of accuracy; users should review important results before relying on them.

Hosting and Infrastructure

Our marketing website is hosted and deployed through Vercel. The Muxow application and its data are supported by cloud infrastructure including Google Cloud, Firebase, Firestore, and Cloud Functions. How We Use Information

We use the information we collect to:

  • Respond to demo requests and inquiries and follow up regarding sales or onboarding
  • Provide, operate, maintain, and improve the Muxow website and Service
  • Enable hotel operations features, communications, and reporting
  • Maintain security, prevent abuse, and troubleshoot issues
  • Comply with legal obligations

How We Share Information

We do not sell your personal information. We may share information with:

  • Service providers and subprocessors who help us operate the website and Service (hosting, database, communications, payments, scheduling, and email) — see our Subprocessors page
  • Other authorized users within the same hotel or portfolio, according to the roles and permissions configured by the hotel
  • Professional advisors as needed for legal, accounting, or compliance purposes
  • Law enforcement or government authorities if required by law

Hotel Responsibility for Data

Hotels are responsible for the data their authorized users enter into Muxow, including guest information, staff information, communication content, and operational records. This includes ensuring they have the right to collect and use that information, managing who has access through roles and permissions, and using communication features in line with applicable laws. Hotels retain ownership and control of their operational data.

Data Retention and Deletion

We retain website inquiry information for as long as reasonably necessary to respond to inquiries, maintain business records, and comply with legal obligations. Hotel and operational data is retained for the duration of the hotel's use of the Service and as described in the applicable agreement. Hotels may request export or deletion of their data, and individuals may submit requests as described below. We will honor verified requests subject to legal and contractual obligations.

Your Choices and Rights

Depending on your location, you may have certain rights regarding your personal information, including the right to:

  • Request access to your personal information
  • Request correction of inaccurate information
  • Request deletion of your information
  • Opt out of certain data processing activities

If your information was entered into the Service by a hotel, we may direct your request to that hotel as the controller of the data. To exercise any of these rights, please contact us at privacy@muxow.com.

California Privacy Disclosure

If you are a California resident, you have the right to request information about our collection and use of your personal information, request deletion of your information, and opt out of sales of personal information (we do not sell personal information).
